Privacy Policy

Last updated: 28 October 2026

This policy explains what personal information Elvora Systems ("we", "us") collects through this website, why we collect it, and how we look after it. If you have any questions, email us at elvora.systems344@gmail.com.

Information we collect

Information you give us

  • Enquiry and complaint forms: your name, email address, and optionally your business name, WhatsApp number and the details you write in the form.
  • AI assistant: the messages you type into the chat.
  • Messages on other channels: anything you send us on WhatsApp, Instagram, Facebook or email.

Information collected automatically

  • Basic, privacy-friendly visit statistics (such as pages viewed and country) through Cloudflare Web Analytics, which does not use cookies or track you across other websites.
  • Technical data such as your IP address, which our hosting provider processes to deliver the site securely and protect it from attacks.

How we use your information

  • To reply to your enquiry, prepare a quote and provide our services.
  • To investigate and resolve complaints.
  • To answer your questions through the AI assistant.
  • To keep the website secure and working properly.

We do not sell your personal information, and we do not use it for advertising profiles.

The AI assistant

The chat assistant is an automated AI system, not a person. Your messages are sent to our AI provider (Cloudflare Workers AI) to generate a reply. We do not use chat messages to identify you, and we ask you not to share sensitive personal information such as passwords or payment details in the chat. AI replies can sometimes be inaccurate, so please confirm important details with our team.

Instagram direct messages

If you send a direct message to our Instagram account, @elvora.systems, our AI assistant Elva may read it and reply automatically, using the Instagram API provided by Meta. We use your Instagram user ID and the text of your messages only to reply to you. To keep the conversation consistent, we store the last few messages of your chat for up to 24 hours, then they are deleted automatically. We don't use Instagram messages for advertising and we don't sell them. You can ask for a human at any time and our team will continue the conversation.

Who we share information with

We only share information with services that help us run this website and our business:

  • Cloudflare, which hosts the website, runs the AI assistant and provides analytics and security.
  • Web3Forms, which delivers form submissions to our email inbox.
  • Google (Gmail), where our business email is hosted.
  • Meta (WhatsApp, Instagram, Facebook), if you choose to contact us on those platforms. Their own privacy policies apply there.

We may also share information if the law requires it.

How long we keep it

We keep enquiry and complaint details for as long as needed to respond and provide our services, and for up to two years afterwards for our records, unless the law requires us to keep it longer. You can ask us to delete it sooner.

Your rights

You can ask us to show you, correct or delete the personal information we hold about you, or to stop contacting you. Email elvora.systems344@gmail.com and we'll respond as soon as we can. Depending on where you live, you may have additional rights under local data protection law.

Deleting your data

To delete the data we hold about you, including Instagram messages handled by our AI assistant:

  • Email elvora.systems344@gmail.com with the subject "Delete my data", and include your Instagram username or the email you used to contact us.
  • Or send the message "Delete my data" to @elvora.systems on Instagram.

We delete your data within 30 days and confirm by email or message. Instagram chat history used by our AI assistant is already deleted automatically after 24 hours. You can also remove our app's access at any time in Instagram: Settings, then Apps and websites.

Security

The website uses HTTPS encryption, security headers and spam protection, and is hosted on infrastructure with DDoS protection. No method of sending data over the internet is completely secure, but we take reasonable steps to protect your information.

Children

Our services are for businesses and are not aimed at children under 16. We do not knowingly collect information from children.
